Converting between document formats is never a byte-for-byte translation, because the formats model a page differently. A Word document describes content that reflows: paragraphs, styles, and rules for how text wraps. A PDF describes a fixed result: this glyph, at this position, on this page. Converting from reflowable to fixed is reliable, which is why Word to PDF and Excel to PDF almost always look right.

The reverse is an act of reconstruction. Turning a PDF back into Word means inferring where paragraphs, columns, tables, and headings were from nothing but the position of text on the page, and the inference is good but not perfect. Expect simple documents to convert cleanly, and expect multi-column layouts, complex tables, and heavy formatting to need manual repair. Convert PDF to Word when you genuinely need to edit the text, not as a way of viewing it.

When a converted document looks subtly off — different line breaks, changed page count, text overflowing a box — the cause is nearly always font substitution. PDFs normally embed their fonts, so they render identically everywhere. Word documents reference fonts by name and rely on the machine having them, so a document set in a font the converter does not have gets rendered in a substitute with different letter widths, and the text reflows.

Two habits avoid most of it. Use widely available fonts for documents that will be converted or shared, since a layout built on Calibri, Arial, or Times New Roman survives almost any pipeline. And when the exact appearance matters — a designed proposal, a certificate, anything with a signature block that must land in the right place — send PDF and keep the editable original for yourself.

Excel to PDF fails most often for a reason unrelated to conversion: a spreadsheet has no inherent page size. A sheet 30 columns wide has to be split across pages somehow, and the default guess is rarely what you wanted. Set the print area, choose landscape, and use fit-to-width in Excel before converting, and the output matches what you expect. The same applies to CSV, which additionally carries no formatting at all, so column widths and number formats are decided entirely by the converter.

PDF to Excel has the mirror problem of PDF to Word: it reconstructs a table from the position of numbers on a page. It works well on clean bordered tables and struggles with merged cells, footnotes, and figures split across pages. Always check the totals in a converted spreadsheet against the source before using it, since a misread column boundary produces a plausible-looking number that is wrong.
