Most PDF problems fall into four groups, and naming the group tells you which tool to open. Structure problems are about which pages exist and in what order: merge, split, remove pages, reorder pages, and crop. Size problems are about a file that will not fit an upload limit or an email: compress. Format problems are about a PDF that needs to become something editable, or something else that needs to become a PDF: PDF to Word, PDF to Excel, PDF to JPG, and the reverse conversions. Finishing problems are everything applied to a document that is otherwise complete: page numbers, watermark, signature, password protection, and metadata.

Working out the group first avoids the common wasted effort of converting a PDF to Word to delete a page, then converting it back, which reflows the layout and loses formatting for a job that Remove Pages does in seconds without touching anything else.

When a document needs several changes, sequence matters, because some operations undo or degrade others. The reliable order is: unlock, then assemble, then finish, then compress, then sign.

Unlock first, because an encrypted PDF cannot be merged, split, or edited at all until the password is removed. Assemble next — merge, reorder, remove pages — so you are working on the final page set. Then finish: page numbers applied after assembly run in one continuous sequence, whereas numbering each file before merging leaves several restarting sequences. Compress second to last, once, on the finished document, because compressing each piece separately and then combining gives a worse result at the same final size. Sign last, always, since a digital signature certifies exact bytes and any later change invalidates it.

Two PDFs can look identical and behave nothing alike. A digital PDF was exported from software and contains real text: you can select it, search it, and convert it cleanly to Word. A scanned PDF is a photograph of a page wrapped in a PDF container, and it contains no text at all, only pixels.

The difference explains most surprises. Scanned files are far larger, because every page is a full-page image, which is why a ten-page scan can exceed a hundred-page report. Converting a scan to Word produces an empty or garbled document unless the text is recognised first. And searching a scanned contract for a clause finds nothing. The fix in every case is OCR: run Image to Text to extract the words, or to produce a searchable PDF that keeps the original appearance while adding a text layer underneath.
