Why spreadsheets get shared as PDFs
An XLSX file sent to a client is editable, recalculates on their machine, and renders differently depending on their fonts and Excel version — none of which you want for a final quotation, rate card, fee schedule, or report. Converting to PDF locks the layout and the numbers: what you approved is what every recipient sees, on any device, with no risk of an accidental edit changing a total. It is also the format printers and document portals expect. Keep the XLSX as your working copy and treat the PDF as the published snapshot; if you ever need to pull data back out of a PDF someone sent you, that is the job of PDF to Excel.
Making wide sheets fit the page
Spreadsheets are wider than paper, so the main decision is orientation: portrait suits up to roughly six columns, landscape comfortably fits ten or more. Before converting, delete or hide helper columns the reader does not need, and put the columns that matter first — a PDF reader cannot scroll sideways the way Excel can. Very wide data sometimes reads better split into two focused sheets than squeezed into one unreadable page.
